Administrator, Plan Operations

Department: Plan Operations
Office: Onsite Tuesday – Thursday; digital Monday and Friday
Location: Philadelphia, PA

The role:

The Administrator provides comprehensive administrative support to the Executive Vice President, Plan Operations and supports the work of the entire Plan Operations team. This individual serves as an initial point of contact for the coordination of Plan Operations activities and deliverables, and integrates the work among teams within Plan Operations to ensure effective outcomes. The Administrator completes tasks assigned including, but not limited to, calendar management, meeting preparations, team engagement, presentations, purchasing and other daily tasks.

What you will be doing:

  • Oversee monthly corporate credit card transactions and business expense processing through the expense reporting system, Concur.
  • Support budget management through regular expense monitoring and the processing and reconciliation of invoices, staff travel, and education costs.
  • Provide calendar and travel management support for the Executive Vice President, Plan Operations.
  • Maintain an accurate organizational chart by document organizational changes on the Plan Operations team.
  • Proactively and effectively communicate critical updates with team members, colleagues, and external partners and work with internal teams to create efficiencies within Plan Operations.
  • Disseminate information to the Plan Operations team, including team announcements and upcoming training segments, by sending out the Daily Connectional email.
  • Prepare meeting agendas and meeting minutes by attending weekly management meetings.
  • Understand and continue to learn the Benefits Plan and Plan Operations processes and procedures to provide education and assistance to members, employers, and staff.
  • Work with Plan Operations and other teams to maintain up-to-date information and processes.
  • Plan and execute Customer Service Week for all Board of Pensions staff.

What you will need to succeed in the role:

  • Proficiency in Adobe Acrobat and with all Microsoft Office applications.
  • Proficiency with Concur Travel and Concur Expense.
  • Proficiency with Salesforce, Benefits Connect, and Onbase.
  • Strong accounting skills and proficiency in budget preparation.
  • Strong attention to detail, editing, proof reading, problem solving and communications skills.
  • High energy and strong interpersonal skills.
  • An ability to stay current and maintain a level of professional expertise via seminars, literature, and formal training.
