Executive Administrator

Department: President's Office
Office: Onsite Tuesday – Thursday; digital Monday and Friday
Location: Philadelphia, PA

The role:

The Executive Administrator reports to the President and provides administrative support to the President and General Counsel. The Executive Administrator manages information flow between the President, General Counsel, and the Investment team and serves as a bridge between and internal and external stakeholders, including the Board of Directors. Additionally, the Executive Administrator coordinates travel of six executives, including the President, the General Counsel, and four investment professionals.

What you will do:

  • Manage complex calendar and meeting schedules and proactively resolve conflicts by prioritizing appointments based on importance and urgency.
  • Coordinate global and domestic travel arrangements including flight, accommodation, transportation, and other itinerary specifics and reconcile all related business expenses for the President, Executive Vice President, Investments, and three Vice Presidents.
  • Provide support for on-site and virtual business partner meetings and arrange for other meeting necessities including technology and catering.
  • Provide administrative and travel management support to the Chair of the Board of Directors and work closely with the President to build relationships crucial to the success of the Board of Pensions including maintenance of Board of Directors’ contact information.
  • Support budget management through regular expense monitoring and reconciliation of invoices, travel and education costs, and the preparation of monthly variance reports.
  • Compile data and statistical information for the Church Benefits Association (CBA) annual meeting and support the management of registration and travel arrangements for Board staff who attend.
  • Track and approve time off requests, coordinate the onboarding of team members, and assist with team events and engagement activities.
  • Create and update presentations, spreadsheets, documents and correspondence.

What you need to succeed in the role:

  • A bachelor’s degree required.
  • A minimum of eight years’ experience supporting C-level executives with highly detailed and sophisticated executive support, organizational, and communication skills.
  • A Notary Public or a wiliness and ability to become a commissioned Notary Public.
  • Proficiency in Adobe Acrobat and with all Microsoft Office applications. Proficiency with leave management software; Paylocity or Workday preferred.
  • Experience planning complex international and domestic travel itineraries and a proficiency with travel and expense software; Concur preferred.
  • Strong accounting skills and proficiency in budget preparation.
  • An ability to research, prioritize and follow up on issues and concerns of a sensitive and confidential nature.
  • Strong attention to detail, editing, proof reading, and problem-solving skills.
  • Strong communication and strong interpersonal skills to support interactions with colleagues, senior management, employers, plan members, and members of the Board of Directors.
  • An ability to gain a thorough understanding of the Benefits Plan, Church polity, and the nature and expectations of the Board’s membership.
  • An ability to stay current and maintain a level of professional expertise via seminars, literature, and formal training.
